Signs It Is Time to Automate a Manual Process

Most businesses do not decide to automate. They just keep doing a task by hand until it quietly becomes a problem. Here are the signs it has reached that point.

1. The same information is typed more than once

An order comes in by email, someone types it into a spreadsheet, then into the accounts, then into a delivery note. Every retype is time lost and a chance to make a mistake. If data is being copied from one place to another by hand, that is the clearest sign of all.

2. One person is the only one who knows how

If a job only works because a particular person remembers the steps, you have a risk, not a process. When they are on holiday or leave, it breaks. Good automation puts the steps into a system so the business does not depend on one memory.

3. Mistakes keep happening in the same place

A missed follow up, a wrong price, an invoice that went out late. If the same error keeps appearing, it usually means a human is being asked to be perfect at something repetitive. Machines are better at repetitive. People are better at the judgement around it.

4. Growth makes it worse, not better

If every new customer means noticeably more admin, the manual process is holding you back. A system that handles ten orders should handle a hundred without ten times the work.

What to do about it

You do not have to automate everything. Pick the one process that ticks the most boxes above and fix that first. It is usually quick to do and pays for itself fast.
